Hive Administrator Agreement

Version 3 of 25 October 2026

This agreement is between you and Elevated Experience Ltd, registered in Jersey (JFSC Business Registration No. 36688), which runs HX | Hive eXperience ("the Platform", "we", "us"). It applies to each hive (a community on the Platform) you create and run. You accept it separately for each hive: in the app when you create it, or, for a hive you already run, when you next open its hive management. It adds to our Terms of Service and Privacy Policy, which also apply to you. If you also sell in your hive, our Creator Agreement applies to your sales.

1. Running your hive

2. Members' personal data

As an administrator you can see, and in places download, information about your members (such as names, email addresses and attendee lists). You may use it only to run your hive and its events, must keep it secure, must not share it or use it for unrelated marketing, and must delete downloads you no longer need. Our Privacy Policy explains how members' data is handled.

3. Hive commission

You may set a hive commission on items created in your hive (5% unless you change it). It applies whenever one of them is sold, in your hive or in any other hive it's offered in; items created in other hives and offered in yours pay their commission to the hive they came from. Sellers see it when they list an item. We collect it with each payment and pass it straight on to your PayPal account, which you need to set up to receive it. You are responsible for any tax on your commission.

4. Refunds

If a seller approves a refund of a sale that paid your hive commission, the whole sale is reversed: within 7 days, you send your commission on that sale back to the buyer's PayPal and mark it as sent in Refunds, while the seller returns their share and we return the platform fee. If you are also the seller, you send both shares together.

If we have to repay a buyer, or lose money because of a PayPal dispute or chargeback, or a refund whose commission you haven't returned within 7 days, you agree that we may recover your commission on that sale from you, by deducting it from your future commission payouts or by asking you to pay it.

5. Members-only hives

You may make your hive only for members of an outside organisation, checked against that organisation's member directory (Membership check in hive management). If you do, you confirm that the organisation has authorised you to use its directory and key in this way, you keep the key confidential and replace it if it may have been seen by anyone else, you tell your members that their email address is checked with the organisation, and you use the exception list fairly. Members whose membership can't be confirmed lose access to your hive only, as our Privacy Policy explains.

In a members-only hive, the people who host events may give an event a second price for people who aren't the organisation's members, so that anyone can buy a ticket. Without one, only members can get a ticket, and a public event shows everyone else a link to become a member (the join link in your Membership check settings, which you keep up to date). Members-only events stay in your hive and can't be listed in other hives. People with a ticket who aren't in your hive can see that event, its chat and, if shown, its attendee list, and you tell your members so. Buyers can check their membership at checkout; we keep that result for two days.

6. Ending

You can delete your hive in the app, or hand it to another member. While you still owe your commission on an approved refund, you can't delete your account until it's sent. We may suspend or remove a hive, or your administrator role, if this agreement or our Terms are broken, and we'll tell you why unless the law stops us.

7. Changes

We may update this agreement. When we do, we'll ask you to accept the new version the next time you open hive management.

8. Law

This agreement is governed by the laws of Jersey, and the courts of Jersey have exclusive jurisdiction. If you act as a consumer rather than in business, you also keep the protection of the mandatory laws of the country where you live, and you may bring a claim in the courts there.
